Privacy Policy
Bin Nasser Secretary for iPhone («سكرتير بن ناصر») · Last updated: 22 October 2026 (version 2.2)
In short: the app collects no data about you. Everything you record stays on your iPhone and is never sent to us or anyone else. The exceptions are what you yourself mark “for the office” (from version 2.0), which reaches the members of your office only, encrypted, through iCloud, so that neither we nor Apple can read it; and what you yourself move to a new iPhone or keep as a backup in your own iCloud Drive (from version 2.2), encrypted with a code we don’t know.
Who we are
Bin Nasser Secretary is developed and published by Tareq Bin Naser as an individual. On the Home Screen it is called «السكرتير». Contact: tareqbinnaser@gmail.com.
Data the app handles
This data is created, processed and stored on your iPhone. Only the last two rows ever leave the device, and only when you decide so:
| Data | Where it is processed and stored |
| Reminders, notes, document titles and tags, folder names | On your iPhone, in the app’s private folder |
| Recordings of voice commands and notes, and their transcripts | On your iPhone. Speech is transcribed by a model running on the device; command recordings are deleted after transcription |
| Scanned documents (PDF) and their recognized text | On your iPhone. Text recognition runs on the device |
| Official letters and the letterhead and signature: organization and department, the two logos, the writer’s name and job title (from version 1.1) | On your iPhone, in the app’s private folder. Letters are written by a model running on the device, without the internet. A letter’s PDF is created on the device for the preview and deleted when the preview closes |
| Settings (reminder timing, display options) | On your iPhone |
| What you yourself mark “for the office” (from version 2.0): a reminder, a document or an official letter, and your name in the office | On your iPhone, and sent encrypted to the members of your office through iCloud, with a key only the holders of the office code have (see “The office” below) |
| The transfer file for a new iPhone, and the optional backup (from version 2.2): all of the above in one file | Encrypted on your iPhone with a code. You send the transfer file yourself with AirDrop or any file sharing; the backup, if you turn it on, is kept in your own iCloud Drive (see “Transfer and backup” below) |
There is no account or sign-in and no server of ours. Nothing syncs between devices except what you choose to share with your office, and what you move to your new iPhone yourself.
The office (from version 2.0)
An office is a group of iPhones that share only the reminders and documents their owners choose to share: one of you creates the office and gets a code, the others type it in Settings or scan its QR code. No accounts, no invitations.
- What is sent: only the items you mark “for the office” yourself: a reminder’s text, time and repeat rule; a document’s title, tags, recognized text, folder name and PDF; an official letter as a PDF with its subject and text; and the name you typed when joining. Everything else never leaves your iPhone, and “Done” and snoozes stay with you.
- Where: the public database of the app’s own iCloud container, through your own iCloud account. There is no server of ours, and we hold no copy.
- Encrypted with the code: an encryption key (AES-256) is derived from the office code and seals everything before it leaves your iPhone. Neither Apple nor we see anything but ciphertext; whoever doesn’t have the code reads nothing. Give the code only to the people you want in the office.
- Who changes what: every member adds; only the person who created the office edits or deletes shared items, or changes the code. Their changes are signed with a key that exists only on their iPhone, so nobody else’s changes are accepted.
- Sending needs iCloud sign-in on your iPhone; receiving works without it. While your iPhone is in an office the app uses iCloud’s silent notifications to fetch what is new; it shows no notification of its own.
- Leaving: any time, in Settings; your copies stay on your iPhone as personal items.
- What Apple sees, and what we see: iCloud stores the sealed records and sees their size, their time and the office identifier (a number derived from the code that reveals nothing about it), and, as with any use of iCloud, knows which iCloud account wrote each record. In Apple’s developer console we see only those same sealed records, with an anonymous identifier iCloud assigns to each account inside this app alone: not your name, not your email, not any content. We don’t look at them and have no use for them. Your use of iCloud is covered by Apple’s privacy policy.
- How long records stay: the sealed records stay in the app’s iCloud database after an item is deleted, after you leave, and after the code changes; nobody can read them without the code. To have your office’s records deleted from iCloud for good: change the office code first (nothing new then reaches the old code), then email us the old code, and we delete everything recorded under it without opening it.
Transfer and backup (from version 2.2)
- “Move my data to a new iPhone”: in Settings, the app makes one encrypted file with all your data (reminders, voice and handwritten notes, scanned documents, official letters and the letterhead, contracts, settings, and your office membership) and shows an 8-digit code. You send the file yourself with AirDrop or any file sharing, open it on the new iPhone and enter the code. The file goes through no server of ours, and the code is never saved or sent with it. After the import the file is deleted from the new iPhone; if you saved a copy anywhere else, delete it.
- “Encrypted iCloud backup” (optional, off by default): the same file, updated daily and after big changes in the app’s folder in your own iCloud Drive, keeping the last two copies. You choose the code when you turn it on (at least 8 digits; longer is better). Without the code the file can’t be opened, even by someone who gets into your iCloud account, and if you forget the code, the backup can’t be restored; we can’t help with it. Your iPhone keeps the key derived from the code (not the code itself) in its Keychain, on this iPhone only, so the backup updates without asking you.
- Encryption: AES-256-GCM with a key derived slowly from the code (PBKDF2 with 600,000 rounds and a random salt), using only Apple’s libraries in iOS. Any change to the file is detected and the file isn’t imported.
- The old iPhone: after the file is sent, the app offers “Delete my data from this iPhone”. If you founded an office, the old iPhone can still edit for the office until you erase it.
- What we see: nothing. The transfer file goes where you send it, the backup sits in your own iCloud storage, and Apple sees only an encrypted file.
What the app does not do
- It does not send any of your data off the device, to us or to anyone else, except what you mark “for the office”, which reaches the members of your office only, encrypted, and what you yourself move to your new iPhone or back up to your own iCloud Drive, encrypted with your code.
- It uses no analytics, advertising, tracking, or crash reporting that sends data.
- It uses no online AI service. All understanding and processing happens on the device, including writing official letters.
- It does not sell or share data, because it doesn’t collect any. What you share in an office, we cannot read.
- It shares a document or letter only when you tap Share or Print yourself, to the destination you choose in the iOS menu.
Internet connections
The app connects to the internet only to download two models, both from huggingface.co:
- The speech-to-text model (Whisper, about 627 MB), downloaded once on first use.
- The official letters model (Google’s Gemma 4, about 4.7 GB, of which 4.2 GB stays on the device), from version 1.1. This download is optional and starts only when you ask for it; you can delete the model in Settings → «الكتب الرسمية».
These are public files that anyone can download. The downloads use an encrypted connection (HTTPS) and send nothing about you or your data. As with any download, the server sees your device’s IP address, and the downloads are subject to Hugging Face’s privacy policy. Apart from these two downloads, and iCloud while your iPhone is in an office or the backup is on (see above), the app doesn’t connect to the internet, and letters are written offline.
Apple services on the device
- Speech recognition: until the model has downloaded, the app may use Apple’s speech recognition, on the device only (audio is not sent to Apple). If on-device recognition isn’t available for Arabic on your iPhone, the app doesn’t use it.
- Face ID or passcode: verified by iOS itself; the app never has access to your face data or passcode.
- Notifications and alarms: scheduled on the device through iOS.
- Choosing photos and files: you pick the letterhead’s two logos yourself with the photo picker or the Files app; the app receives only the image you pick, with no access to your photo library.
Protection
- The app locks with Face ID or your passcode at launch and every time you return to it.
- Its files use iOS’s strongest Data Protection, so they can’t be read while the iPhone is locked.
- Its data is excluded from the iPhone’s regular iCloud and computer backups. To move it to a new iPhone use “Move my data to a new iPhone”, and for emergencies turn on “Encrypted iCloud backup”; both are encrypted with your code. Without one of them, the data can’t be restored if the iPhone is lost or erased, and it is deleted when you delete the app. (What you marked “for the office” stays with the other members.)
- You can hide the reminder text in notifications and on the alarm, in Settings.
Permissions
| Permission | Purpose |
| Microphone | Recording voice commands and notes |
| Speech recognition | On-device transcription while the model is downloading |
| Camera | Scanning documents, and the QR code of an office code |
| Notifications and alarms | Reminding you on time, even in silent mode |
| Face ID | Locking the app |
You can change any permission at any time in the iPhone’s Settings →
Deleting your data
Your data lives on your iPhone, and we hold no readable copy of it. You can delete any reminder, note, document or official letter in the app, and the letters model in Settings; deleting the app permanently deletes all of its data from your iPhone.
The iCloud backup: when you turn it off in Settings you choose whether to delete this iPhone’s copies from iCloud Drive or keep them; you can also delete them in Settings › your name › iCloud › Manage Storage › “Bin Nasser Secretary”. “Delete my data from this iPhone” (after a transfer) deletes the app’s data from the old iPhone and does not delete the backups.
What you shared with an office: the person who created the office can delete any shared item, which removes it at every member (whoever added it keeps a personal copy). Leaving the office in Settings stops sending and receiving, and your copies stay on your iPhone. To have the sealed records deleted from iCloud, see “How long records stay” in “The office” above.
Children
The app collects no data from any user, including children.
Changes to this policy
If this policy changes, this page is updated with a new “last updated” date, and any change in how data is handled will be mentioned in the app’s release notes.
